You can think of it as a lightweight Student Information System. It provides a portal for schools to enter student and family information. Schools can also integrate it directly with other third-party systems, such as OpenApply, PowerSchool, Veracross, and more. This allows schools to handle tasks that cannot be completed by other third-party systems or to use Admission Pro as a bridge connecting multiple systems.

Billing

Annual Billing is a comprehensive invoice generated by the school to outline the total fees due for the academic year. This billing document is issued to families or companies responsible for school fees. It includes detailed charges for tuition, registration, and any additional services or programs a student may be enrolled in.

As payments are made throughout the year, each payment transaction is applied to reduce the outstanding balance on the annual billing. Additionally, any discounts or financial aid provided by the school, such as scholarships or early payment discounts, are deducted from the total amount due. These adjustments are reflected in real-time, offering families or companies a clear and updated view of their remaining balance. The annual billing process provides an organized, transparent, and efficient way to manage and track school fees for each academic year.

Transactions

Transaction is used to record each family’s payment transactions. Discounts or Financial Aid provided by the school can also be considered as a type of Transaction. It is made up of various components. For more details, please refer to the Transaction page.

Scholar OS includes a powerful email delivery feature designed specifically for Admission team. This tool enables teams to create dynamic email templates that incorporate personalized admission data, such as student names, application status, deadlines, and family-specific information. This is particularly valuable during critical enrollment and re-enrollment seasons, allowing teams to streamline communication and provide timely, tailored updates to prospective and returning families.

In addition to template customization, the system supports scheduling, enabling teams to plan and automate email delivery at optimal times, ensuring families receive information when it’s most relevant. Scheduled email tasks allow the admissions team to manage high-volume outreach more effectively, reducing manual workload and ensuring consistency in communications. By centralizing and automating these functions, the Communication section enhances engagement, keeps families informed, and supports a seamless admission process from start to finish.
